Orbex is looking for a Procurement Assistant and provide valuable administrative support to keep procurement running efficiently across our teams.

You will be working from Monday – Friday, between 9am – 5pm in our Forres office. This is temporary position of 5 months.

The Position

You will be supporting and managing order processing, coordinating with suppliers, and keeping accurate records. Ensuring all activities follow company policies and assisting in tracking supplier performance.

Key responsibilities of the role

  • Assist with raising and managing purchase orders, coordinating with suppliers to ensure timely delivery and resolve issues.
  • Maintain accurate vendor and product data in the Odoo ERP system, supporting data integrity and error resolution.
  • Work with finance Accounts Payable to resolve invoice queries and ensure good payment performance is maintained.
  • Support supplier communication, monitor performance, and assist with contract and compliance administration.
  • Maintain procurement records to ensure compliance with company policies and audit requirements.
  • Work closely with engineering, production, and quality teams to align procurement with project needs and provide administrative support.
  • Support tracking of supplier KPIs and help address performance issues.
  • Assist in cost-saving initiatives and identify opportunities to improve procurement processes.
  • Participate in process reviews and support maintaining ERP data accuracy.
  • Help track supplier sustainability and ethical sourcing efforts.

 

Qualifications and Experience

We are happy to consider applicants with general admin or finance backgrounds, recent graduates, or candidates interested in learning about procurement and/or supply chain in a dynamic engineering environment.

In ideal circumstances you will have:

  • Basic understanding of procurement or supply chain principles.
  • Awareness of procurement documentation, order processing, and supplier management.
  • Good knowledge of administrative and compliance procedures.
  • Experience with MS Office applications, especially Excel and Word.
  • Qualifications or coursework in business, supply chain, or procurement is a plus.
  • Strong attention to detail and organisational skills.
  • Effective communication skills for internal and external collaboration.
  • Ability to handle multiple tasks and work well in a fast pace environment.
